Overview

This quick reference guide provides staff an overview of the roles and responsibilities of the Clerical staff member to coordinate the central communications and administrative area of the patients post Triage.

The main role of the Communications Clerk, is to coordinate the administrative paper work and data entry that is involved with patient movement through the Emergency Department. In addition, the Communications Clerk, works closely with the Patient Services Assistants to coordinate and achieve timely Ward transfers.

The Communications Clerk will communicate closely with the Nurse In Charge (NIC) and or Nursing staff to ensure all patients’ information is accurately entered and paperwork completed as required before scanning into medical records upon discharge or moved to another area.

Responsibility

The primary responsibility of the Communications clerk is to ensure the patients have a positive experience from a customer service perspective as well as providing specialist clinics appointments for follow up if required.

The Communications clerical staff are responsible for accurate data entry relating to patient details and inpatient stays. Updating relevant compensable information for finance and informing PLO for patients not entitled to Medicare bulk billing within Australia. Communications clerks also answers patient inquiries put through from switchboard and then relayed to nursing staff for follow up.

Role Details

  1. Answer departmental phone calls
  2. Admit all patients with a bed request including psychiatric patients
  3. iPM admission including signed admission form if not already obtained at Triage
  4. EDIS screen work
  5. Print admission labels and replace existing in patient file
  6. Print POCSC wristband and facilitate replacement on the patient
  7. Complete patient flow process for Adults & Paeds edit iPM admission, Page PSA, Check paperwork, edit iPM admission, discharge from EDIS (check date is correct), page cleaner
  8. Book transport
  9. Enter patient details on Miya
  10. Admissions, Transfers and Discharge
  11. Outpatient appointment (Adult)
