Key Management

This document provides a summary of best practice in relation to key management within Resus, BAU (including BAR), The Hub and Fast Track. The summary has been created to support staff during the Sunshine Hospital Emergency Department Redevelopment transition and early post-move period, and has been endorsed by the SHED Leadership Team.


The aim of this QRG is to outline the correct process for the management of keys within the Resuscitation Area (Resus), BAU (including BAR), The Hub, SSU, Children’s Area and Fast Track PODS.


This QRG applied to nursing and medical staff who may need to have access to or have use the keys in the above mentioned areas.


It is the responsibility of the Nurse Unit Managers, Directors and Deputy Directors of the Emergency Department, and the Emergency Department line Managers to ensure the relevant SHED staff are familiar with this QRG, that it is implemented according to the guidelines as outlined within, and that there is compliance by all staff members.

Guideline/Process Details

Medication safe keys

The keys to open the S8/11 medication safes in the main ED should be carried by a nominated authorised registered nurse.

The key log should be signed by the nurse when they take over responsibility of the keys at the start of their shift.

These keys will also allow access to the drug safes located in Resus, SSU, the Children’s area, Fast Track, BAU and The Hub if the swipe access is not working.

There is also a key available with pharmacy if needed.


Interlock override Key

There is a key to override the interlock for the negative pressure ante room so both doors can be opened at the same time. The key should be kept in the lock which is located in the Resus workstation. A spare key is located in the key box in the NUM office.

Obstructed Access Key

Large STAR shaped key to be used for emergency access to toilets/rooms by allowing the door stop rail to be released and the door to swing outward as outlined in the BATHROOM OCCUPANCY SENSORS AND OBSTRUCTED ACCESS DOORS QRG.

BAU/BAR – Key will be carried by the ANUM/Team Leader

The Hub – Key will be stored in the medication safe in the drug room

There is also a spare key located in the key locker near the NUM office.

BAU/The Hub Beverage Bay Roller Door Key

This key is used to control the opening and closing of the roller door for the beverage bays located in both the BAU and The Hub.

The key will be attached to the wall in each workstation next the lock for the roller door. There will be spare keys located in the key locker in the NUM office.

Patient Services Panel Key

The key to open the patient services panel at the back of each room in the BAR, BAU and the HUB will be with the nursing staff working in these areas. The key with be connected to the personal duress that each staff member will carry and will be cleaned and handed over at change of shift.

There will be spare keys located in the key locker in the NUM office.

Other Keys required in the ED

Any other keys required in the emergency department should be located in the key locker located near the NIC desk in the main department or in the NUM office.

The keys in the box near the NIC desk include but are not limited to;

  • Key to the Printer draw for script paper
  • Wow key
  • Equipment key for the filing cabinet in the work station


Appendix 1. Obstructed Access Key

This will be the responsibility of the BAU Team Leader/ANUM to hold key at all times.

Appendix 2. Patient Services Panel & Beverage Bay Roller Door Keys

There are 2 keys each allocated for each BAU cubicle – this will be held by BAU primary nurse

  1. BAU 1 + BAY KIT 1
  2. BAU 2 + BAU KIT 2
  3. BAU 3 + BAU KIT 3
  4. BAU 4 + BAU KIT 4

There are 1 key each allocated for each BAR cubicle – this will be held by the BAR primary nurse

  1. BAR 1
  2. BAR 2

There is 1 key allocated for the Beverage Bay – this will be located inside the office in the Beverage Bay key slot

  1. BEV BAY
